We are seeking an experienced, proactive, and organized Procurement & Office Coordinator to support the sourcing, procurement, and importation of FMCG products. This role is responsible for managing supplier relationships, identifying new suppliers and products, coordinating international shipments, and ensuring smooth communication between suppliers, freight partners, customs personnel, and internal stakeholders. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple responsibilities in a fast-paced environment within a small team.

Key Responsibilities

  • Source, evaluate, and onboard new suppliers and manufacturers for existing and new FMCG product lines.
  • Research and develop new product opportunities based on market demand and company objectives.
  • Build and maintain strong, long-term relationships with local and international suppliers.
  • Request, negotiate, and compare product quotations, pricing, MOQs, lead times, and shipping costs.
  • Coordinate product development, packaging, labeling, and product specifications with suppliers.
  • Maintain an accurate supplier database, supplier communication logs, and supplier performance records.
  • Coordinate shipments with freight forwarders, shipping agents, transit companies, and customs clearance personnel.
  • Prepare, organize, and monitor import documentation to ensure timely customs clearance and delivery.
  • Monitor production schedules, shipment status, and delivery timelines while providing regular updates to management.
  • Assist with cost analysis, budgeting, and procurement reporting.
  • Perform general administrative, filing, documentation, and office coordination duties as required.
  • Continuously identify opportunities to improve procurement processes, reduce costs, and enhance supplier performance.
