About The Role
The Spare Parts Storekeeper is responsible for the efficient receipt, storage, handling, issuance, and inventory control of mechanical, electrical, automotive, and heavy equipment spare parts. The role ensures inventory accuracy, proper storage and preservation of spare parts, and timely availability of materials to support maintenance and operational activities. The incumbent maintains accurate inventory records, complies with company Health, Safety, Environment, and Quality (HSEQ) standards, and collaborates closely with Maintenance, Procurement, Inventory Planning, and Operations to optimize inventory levels and minimize equipment downtime.
Key Responsibilities
Spare Parts Inventory Management
- Receive, inspect, and verify spare parts deliveries against purchase orders, delivery notes, and technical specifications.
- Ensure all spare parts are accurately identified, labeled, and stored in designated locations according to company standards.
- Maintain accurate inventory records within the ERP or Warehouse Management System (WMS).
- Monitor inventory levels and notify the Inventory Planning or Procurement team of replenishment requirements.
- Conduct routine cycle counts and participate in periodic stocktakes to ensure inventory accuracy.
- Monitor slow-moving, obsolete, damaged, and excess inventory and report findings to management.
- Apply appropriate stock rotation and preservation methods to maintain the quality and usability of spare parts.
Material Receiving & Issuing
- Issue spare parts only against approved material requisitions, work orders, or maintenance requests.
- Verify quantities and specifications before issuing materials to users.
- Record all inventory transactions accurately and ensure timely updating of the ERP system.
- Coordinate the return of unused or defective spare parts and ensure proper documentation.
- Ensure timely availability of critical spare parts to support maintenance activities and minimize equipment downtime.
Warehouse Operations
- Maintain a clean, organized, secure, and efficient spare parts warehouse.
- Ensure appropriate storage conditions for sensitive items such as bearings, seals, lubricants, electrical components, and precision instruments.
- Safely load, unload, and move materials using appropriate material handling equipment.
- Ensure proper shelf identification, bin locations, and inventory traceability.
- Maintain warehouse housekeeping in accordance with 5S principles and company standards.
Inventory Control & Documentation
- Prepare daily, weekly, and monthly inventory reports.
- Investigate inventory discrepancies and recommend corrective actions.
- Maintain complete documentation for receipts, issues, transfers, returns, and inventory adjustments.
- Support inventory valuation and reconciliation activities in collaboration with the Finance department.
- Assist in maintaining accurate item master data, including descriptions, part numbers, units of measure, and storage locations.
Health, Safety & Compliance
- Comply with company Health, Safety, Environment, and Quality (HSEQ) policies and procedures.
- Ensure safe handling and storage of heavy, hazardous, and specialized spare parts.
- Report damaged materials, unsafe conditions, and warehouse incidents promptly.
- Ensure warehouse equipment and storage systems are maintained in safe operating condition.
- Participate in safety inspections, audits, and continuous improvement initiatives.
Stakeholder Coordination
- Collaborate with Maintenance, Procurement, Inventory Planning, Operations, and Finance to ensure timely availability of spare parts.
- Communicate inventory shortages, stock-out risks, and delivery delays to relevant stakeholders.
- Coordinate with suppliers regarding damaged, incorrect, or missing spare parts.
- Support planned shutdowns, maintenance campaigns, and project activities by ensuring required materials are available.
Continuous Improvement
- Identify opportunities to improve warehouse operations, inventory accuracy, and material handling efficiency.
- Support warehouse optimization initiatives, including barcode systems, ERP enhancements, and process automation.
- Recommend improvements to warehouse layout, storage utilization, and inventory control processes.
- Contribute to the development and implementation of warehouse procedures and best practices.
